Accommodation and transport for your wedding guests: what to arrange and how to explain it

The short answer: if the venue is out of town or the party ends late, arrange the shuttle back and recommend two or three places to stay at different prices. Everything else (directions, times, phone numbers) goes in writing on your website, in one place. It's what guests ask most, and what saves you the most calls.

What you should arrange (and what you shouldn't)

SituationWhat couples usually do
Venue more than 20 minutes from townA shuttle there and, above all, back
Party until lateAt least two return times (e.g. 1am and 4am)
Many guests from out of townA room block or discount code at 1–3 hotels
City weddingExplain parking and public transport
Guests flying inNearest airport and station, and travel times

Paying for guests' hotels isn't expected; recommending them and negotiating a rate is. Many hotels will give you a code ("OURWEDDING") in exchange for reserving a number of rooms.

Accommodation: how to recommend it well

  • Two or three options at different prices. A hotel near the venue, one in town, and something simple.
  • With the details that matter. Distance to the venue, whether it's on the shuttle route, the discount code and how long it's valid.
  • With a clear deadline. Room blocks are often released a month or two before. Say so.

Shuttles: what to tell guests

Guests need four things: where it leaves from, what time, what time it comes back, and whether they need to sign up. If you need numbers, ask in the RSVP ("Will you use the shuttle?") instead of collecting names on a group chat.

And add a contact number for the day that isn't yours: a sibling, a friend, or whoever coordinates the shuttles.

How to put it on your website

On Weddara, all of this goes in the editor's "For your guests" step:

  • Recommended places to stay: each hotel with its name, a note (discount code, distance) and a link.
  • Getting there: by car, by train, from the airport, and where the shuttles leave from.
  • What to see in the area, for guests making a weekend of it.

Shuttle times look best in the timeline in the "Ceremony & reception" step, hour by hour with a bus icon, alongside the ceremony, drinks and party. On Premium you can add the shuttle question to your RSVP, with the answers sorted alongside the rest (explained in the list your caterer will ask for).

Mistakes we see often

  • Sharing times only on a group chat. They get buried. On the website they're still there the night before.
  • Forgetting the return trip. It's the shuttle people use most, and the one couples forget to explain.
  • Recommending a single expensive hotel. It leaves half your friends out.

Start your website for free and fill in the "For your guests" step: it takes ten minutes.
